ARTIPOP POLICIES

Welcome to Artipop. These policies are designed to help us provide safe, organised and enjoyable art classes and drum lessons for children and families. By making a booking with Artipop, you agree to the policies below.

1. BOOKING & PAYMENT

All bookings must be made through the Artipop website unless otherwise agreed directly with Artipop. A booking is confirmed once payment has been successfully completed and a booking confirmation has been received.

Places are subject to availability. If Artipop cancels a session and an alternative cannot be arranged, the affected session will be refunded.

Parents or guardians are responsible for ensuring that all information supplied when booking is accurate and up to date.

2. ART CLASS CANCELLATIONS & CHANGES

Our children’s art programmes operate with limited places and materials are prepared in advance for each child.

Cancellations must be requested at least 14 days before the start of the booked programme or session to be eligible for a refund. Cancellations made less than 14 days before the start date are non-refundable.

Requests to change a booking must be made at least 48 hours before the relevant session. Changes are subject to availability and cannot always be guaranteed. Missed sessions and non-attendance are non-refundable.

3. DRUM LESSON CANCELLATIONS & CHANGES

Drum lessons may be cancelled or rescheduled with at least 48 hours’ notice.

Cancellations or rescheduling requests made less than 48 hours before the scheduled lesson are non-refundable and the lesson may be charged in full. Missed lessons and non-attendance are non-refundable.

Where sufficient notice is provided, Artipop will make reasonable efforts to arrange another available lesson time.

4. CHILD SAFETY & REGISTRATION

A parent or guardian must complete the required Registration Form before their child attends their first Artipop class or lesson.

The form may request information necessary for the child’s safety and participation, including emergency contact details, allergies, medical information and other relevant needs. Parents and guardians are responsible for ensuring that this information is accurate and up to date.

Children must be collected promptly at the end of their scheduled session. If someone other than the usual parent or guardian will collect the child, Artipop must be informed in advance.

Children are expected to treat other children, teachers, equipment and the studio with respect. If a child’s behaviour creates a significant safety concern, Artipop may contact their parent or guardian and, where necessary, ask for the child to be collected.

5. PHOTOGRAPHY & MEDIA

Photographs or videos may occasionally be taken during Artipop classes for our website, social media and promotional materials.

Identifiable photographs or videos of a child will only be used for promotional purposes where appropriate permission has been obtained from their parent or guardian.

Photography and media permission is requested separately through the Registration Form. Parents or guardians may decline permission without affecting their child’s ability to attend Artipop.

6. PRIVACY & PERSONAL INFORMATION

Artipop respects the privacy of children, parents and guardians. We may collect information including parent or guardian contact details, the child’s name and age, booking and attendance information, emergency contact details, relevant allergy or medical information, registration information, media preferences and communications with Artipop.

This information is used where necessary to manage bookings, provide classes and lessons, communicate with families, maintain appropriate safety arrangements and meet applicable legal obligations.

Personal information is kept only for as long as reasonably necessary and will not be sold to third parties. We may use trusted service providers where necessary to operate our website, bookings and payments.

Parents and guardians may request access to, correction of or deletion of their personal information where applicable under UK data protection law.

7. HEALTH, ALLERGIES & ADDITIONAL NEEDS

Parents or guardians must inform Artipop through the Registration Form of any allergies, medical conditions, additional needs or other information that may reasonably affect their child’s safety or participation.

Artipop will make reasonable efforts to provide a safe and supportive environment. Parents and guardians are responsible for providing accurate and current information and should inform Artipop if relevant information changes.

8. ILLNESS

Children should not attend an Artipop class or lesson if they are unwell or have symptoms of an illness that could reasonably affect other children or staff.

If a child becomes unwell during a session, Artipop may contact their parent or guardian and request that the child be collected.

9. PERSONAL BELONGINGS

Children should avoid bringing unnecessary valuable items to classes or lessons. Artipop cannot accept responsibility for personal belongings that are lost, damaged or left behind, except where responsibility cannot legally be excluded.

10. CANCELLATIONS BY ARTIPOP

Occasionally, Artipop may need to change or cancel a class or lesson due to illness, emergencies, venue issues or circumstances outside our reasonable control.

Where possible, we will offer an alternative session. If an appropriate alternative cannot be provided, a refund or appropriate credit will be offered for the affected session.

11. POLICY UPDATES

Artipop may update these policies from time to time to reflect changes to our services, booking arrangements or legal requirements. The latest version will be available on the Artipop website.
